Job Description:
The Practice Manger is responsible for coordination of the day to day operations of the Pulmonary Practice. The Practice Manager is responsible for coordinating the workflow and efficiency of the office. Responsible for regulation of department policy, regulatory guidelines, HIPAA, EMR workflow and new business development while collaborating with the physicians. The Practice Manager assures quality care and efficient service to patients. The manager’s duties include directing the office staff, preparing bi-weekly payroll; managing daily operations of the office, overseeing the schedules for 9 providers and the staff. Problem solving; overseeing billing performance and issues with EMR; accounts payable for the office and recordkeeping.
Essential Job Functions:
- Direct and supervise pulmonary personnel and activities including satellite offices while working in cooperation with physicians. Responsible for overseeing the orientation and training of all personnel.
- Coordinate with Chief of staff and/or Director of Outpatient Clinic final decisions on employee hiring, performance evaluations, merit increases, promotion, separation, transfer, discipline and other similar personnel action recommendations. Counsel employees as needed. Resolve employee grievances and disciplinary problems within scope of own position responsibilities.
- Maintain personnel files, keep attendance records, and produce and oversee payroll
- Make effective recommendations to Division Chief and Director of Outpatient Clinic regarding new equipment, programs, services etc., to effect the continuing improvement and efficiency.
- Responsible for providing assistance to patients and staff to maximize a positive patient experience.
- Assume responsibility for performing a wide variety of duties pertaining to the Pulmonary Office, purchasing of supplies, but not limited to: placing of routine orders, selection of vendors, negotiating pricing, establishing standards and inventory levels, receiving items, troubleshooting with vendors, approving invoices for payment, etc.
- Monitor workflow including review of productivity standards and bench marking standards. Work in close cooperation with applicable Division Chief, Director of Outpatient Clinic other physicians in taking necessary measures in response to changes in workload.
- Serve as a liaison between the providers, staff and other applicable divisions in the areas of problem solving, remedying of errors and discrepancies, informational requests, etc., and to maximize interdepartmental resources.
- Develop, implement, and maintain positive working relationships and appropriate interactions with Physicians, various external agencies, personnel and administration
- Oversee timely billing/coding and signing of reports for of hospital, office, nursing home and PFT.
- Review revenue through reporting on Biologics, PFT, hospital and office
- Prepare agenda for monthly provider meeting, review providers hospital and call schedule as well as maintain weekly schedule.
- Oversee team leaders with continues workflow resolution, problem solving and staffing issues.
Education / Experience
The qualified candidate for this position has 2-4 years’ experience as a manager in a Pulmonary or other qualified medical office. Their business and clinical qualifications and skills include hands on experience with EMR. Requires a Bachelor’s degree preferred, have excellent interpersonal and communication skills with an ability to respond to clinical challenges and represent the department in various settings. This candidate demonstrates an ability to interact as a team-builder with a wide variety of individuals from diverse disciplines, cultures and experience.
